The Library Assistant is usually the first and many times primary customer/patron point of contact for most of the services provided by the library. As such the Library Assistant should provide a positive/welcoming greeting and initial impression combined with pleasant, respectful, efficient, and accurate library service. Under the supervision of the Shuter Library Director, the Library Assistant provides advice and direction to patrons to fully utilize all available library materials and resources. The Library Assistant executes all front desk administrative, communication, and clerical functions. This includes but is not limited to assisting patrons with sourcing & locating materials, material loan processing & record keeping, shelving materials in the appropriate location, enrolling new or expired patrons with loan ID cards, answering telephone calls, providing necessary clerical service such as correspondence writing , record keeping and donation solicitation. The Library Assistant catalogs & labels new materials for circulation and, under direction of the Director or following specific protocol, removes items from circulation. Provides basic housekeeping and facility sanitation services to maintain a safe and aesthetically pleasant workplace and patron service area environment.
Library Reception & Service Desk Duties:
· Utilize designated systems & processes to issue patrons library loan authorization cards
· Process outgoing and returned loaned library materials
· Process & assist patron’s use of Public Access Computers (PAC) & insure appropriate use of same
· Facilitate receipt and sale of used/donated books for library fundraising
· Follow designated procedures to receive & account for library monetary donations
· Solicit patron customer service input to better align library service and patron expectations
· Answer facility telephone communication
· Open & close library as assigned
· Assist Library Director as requested
Library Material Cataloging, Record Keeping, & Maintenance
· Utilize established library record keeping systems & processes record & maintain accurate materials records
· Label & mark all materials as required
· Scan for accuracy and correct as necessary library recordkeeping
· Identify & remove from circulation materials that should be weeded
· Processes & provides notification of overdue loaned materials
Library Program Support Duties & Responsibilities
· Assist in the development, scheduling, & execution of children’s programs such as summer reading enhancement, game nights, and other authorized programs
· Facilitate and manage the Adult Book Club program with regard to leader identification, reading material selection, & book acquisition & return.
· Maintain a current Featured Book Shelf display in the library with solicitation of relevant input from patrons, library staff, volunteers, and other interested parties.
· Provide clerical support for library fund raising, maintenance of accurate donor contact lists, donation solicitation mailings & event execution.
· Assist with the effective utilization of volunteer service to the library.
· Provide support to facilitate a positive & effective public relations exposure on behalf of the Shuter Library via graphic materials creation, local professional organizations, online social media, etc.
General Duties & Responsibilities
· Ensure the safety and sanitation of the library facility by maintaining clean work, breakroom, storage, and restroom areas by performing basic housekeeping service. Perform work and customer service duties in a manner that avoids undue risk of accident & injury. Learn how to properly use the facility IED.
· Prepare, maintain, and clean the library complimentary refreshment area.
· Identify and submit for consideration to the Library Director, ideas and plans that can improve and make more efficient the services and operations of the library.
Physical Requirements, Basic Skills, Schedule & FLSA Classification
· Customer/patron service skill focus and positive interpersonal skills
· Ability to stoop to floor level and reach overhead with 10lbs.
· Ability to use step stool to reach overhead.
· Ability to lift and relocate items up to 25lbs.
· Incumbent must be highly reliable and dependable with regards to work attendance and adherence to required hours of work and potential schedule changes.
· This is a Part Time position normally scheduled to work less than 30 hours weekly.
· Proficiency in use of standard word processing, spreadsheet, graphics, & presentation preparation software a plus.
· The Library Assistant position is a Non Exempt, hourly compensated, position under the Federal & New Mexico Fair Labor Standards Acts.
